This is the Five-Minute Rule. And if you're not building your process around it, you're leaving deals on the table before the conversation even starts.
Here's how to actually make it happen.
1. Automatically assign a rep to call back.
This is the gold standard, of course. In a perfect world, your reps would instantly pounce on every inbound lead and call them at exactly the right time.
While you can’t guarantee that your people will always be able to hit the phones for every lead, you can set up systems to automate it when they can.
If you’re a Close user, create a trigger that kicks off a Workflow when a new lead fills out a form. Automatically assign an owner to each lead and set a task to call them back within 5 minutes.
Your rep will see the alert, and they'll act. No dropped balls, no "I thought someone else had it."
Set it up once and let it run. If your reps can’t move in 5 minutes, the task will still be in their queue—and no leads slip through the cracks.
2. Send a text to get them on your calendar NOW.
Not everyone has a rep available at 11 pm on a Tuesday (and that's okay!). What's not okay is ghosting your leads or taking days to reply. Give them a third option while you still have their attention.
Set up an automated workflow that fires off a text and/or email the second a form is submitted, with a Calendly link to book a call. The keyword is instantly. You want to catch them while they're still top of mind, not halfway through a competitor's demo.
Sometimes all people need is a simple acknowledgement that you got their message and you want to talk to them—even if that can’t be right now.
3. Let an AI voice agent make the call for you.
This one's newer territory, but trust me: when done well, AI voice agents work!
AI voice agents can call a lead back within seconds of form submission: qualifying them, answering basic questions, and booking them with a human rep. If your team can't staff 24/7 coverage, this fills the gap.
I don’t see AI voice agents completely taking over the sales process as closers, but I do see them changing the game for small businesses struggling with too many leads, slow response times, or overworked reps.
